HAULAGE PRICING GUIDE

How to price a haulage job without relying on a flat rate per mile

A mileage rate is useful, but it does not tell you whether an individual job will make money. A proper transport quote should account for the whole job: loaded and empty mileage, fuel and vehicle running costs, driver time, loading and waiting, tolls and other job-specific costs, then the margin you need to protect.

1

Work out the real operating cost

Start with the vehicle costs that actually apply to your business. Fuel is only part of the picture; maintenance, tyres, finance or lease costs, insurance, tax and other standing costs all affect the true cost of running the vehicle.

2

Cost the complete job

Include the miles needed to position the vehicle, collect, deliver and return where appropriate. Add driver time, loading, unloading, waiting, tolls, parking, overnight costs and any other expenses specific to the movement.

3

Add margin after you know the cost

Once the complete job cost is clear, apply your target margin to calculate a selling price. That gives you a commercial quote based on the job in front of you rather than a generic rate that may not cover your costs.

Why HGV cost per mile alone can be misleading

Two jobs covering the same road mileage can have very different costs. One may involve a fast collection and direct delivery; another may include empty running, several drops and hours of waiting. Pricing both from the same £/mile figure can hide the difference. Cost per mile is best used as one measure within the full job calculation, not as the only pricing method.

Margin and markup are not the same

Markup adds a percentage to cost. Margin measures profit as a percentage of the selling price. For example, adding 20% markup to a £500 cost produces a £600 selling price, but the resulting margin is 16.7%. If you price to a target margin, the selling price needs to be calculated from that margin rather than simply adding the same percentage to cost.

A simple haulage pricing example

If a job has £420 of total operating and job-specific costs and you want a 15% margin, the selling price before VAT is approximately £494.12. The important part is that the £420 should represent the complete job cost—not just fuel or loaded mileage.

From job costing to a customer quote

Transport Quote Calc is designed around that workflow. Enter the route, use your saved vehicle and operating costs, include job-specific charges and your target margin, then create a professional customer-ready PDF quotation. It is built for UK owner drivers, small hauliers and transport operators quoting ad-hoc transport work.

No card required. Your first four different route calculations are free.

Frequently asked questions

Quick answers about accounts, quotes, billing and calculations.

How do the 4 free route calculations work?

You can calculate four distinct ordered routes without entering card details. Recalculating an identical route does not use another credit. Editing or saving a quotation does not itself use a route calculation.

What happens after my free calculations?

You can keep your account and saved information. To calculate new routes, upgrade to Transport Quote Calc Pro for unlimited route calculations.

Can I save my own vehicles and costs?

Yes. Save vehicle profiles with fuel consumption and operating costs, then select the appropriate vehicle when pricing a job.

Can I save regular customers?

Yes. Customer details can be saved to your account and reused on future quotations.

How are route miles and journey times calculated?

Transport Quote Calc uses a routing service to estimate road mileage and drive time from the postcodes entered. Route results are estimates and should be checked where road restrictions, vehicle restrictions or unusual access conditions may apply.

Does the recommended price guarantee a profit?

No. The calculator uses the costs, assumptions and margin settings entered in your account. You remain responsible for checking that the inputs and final quotation are appropriate for the job.

Can I cancel my subscription?

Subscription management is available from your Account page. Cancellation affects future renewal; access remains subject to the billing period and subscription status shown in your account.
